User information

Finding key information about users on your portal

Use the global search to find specific users by name email or id, or selecting users in groups will take you to their specific User Management Area. This area provides a complete view of an individual learner, including their profile information, activity, progress, exam history, assignments, permissions, and communication history. As well as an administration page to edit their user information

Once you've opened a users profile, you will see a list subpages to the left of the page. Users can be sent messages directly from here using the Message button in the top right corner. The different sections of that list are broken down below.

Engagement

Overview

The Overview page provides a high-level summary of the user's account and activity.

At the top of the page you'll see key information about the learner, including:

  • Name and User ID

  • Email address

  • External ID (if configured)

  • Organisation

  • Account creation date

  • Last login date

  • Time zone

  • Custom profile fields

  • Recent scores and completion statistics

The Overview page also includes:

  • Engagement graph – Shows the learner's recent platform activity and session history.

  • Activity log – Displays a chronological record of important user actions and events.

This page is useful when investigating learner engagement or confirming account details.

Insights

On the overview tab you can get a high level overview of a users' performance and engagement specifically across your Tags. You'll also find tabs for Attempts and Records of Learning. Use the attempts tab to view all the attempts the user has taken and access those results pages.

Progress

The progress page is similar to Insights' attempts page in that it shows a list of attempts a user has taken along with links to the results pages. If a user has added items to their study, you can also view the breakdown of their questions across mastery levels in the pie chart. Similar to the Insights Attempts tab, you'll find a history table of all the users attempts as well as acces sto the results page

If there is no pie chart on this page, it means the user has not added any quizzes to their study. You can advise they do this by opening the Available items tab on their study page

Access

The access section provides an overview of the different content set to the user, Assignments, Exams and Collections.

Assignments

The Assignments page displays all assignments associated with the learner.

From here you can:

  • View assignment status

  • Review completion progress

  • View completed items and access assignment management tools

  • Check due dates

Exams

Go to Exams to see a table of users exam attempts split into open, upcoming and past sections. This is also what the user can see when they open their Exams page.

For open and upcoming exams, you can select 'View exam' in the right hand column to view the exam hall page. You can share the url of this page with the user if they are having trouble finding it. You can also use it to find out exam and attempt ids to help search for those items. For past exams you can find the same page by clicking the name of the exam in the left hand column. For marked attempts you can also view the results page of the attempt by selecting 'View results' link.

Collections

The Collections page shows all collections the learner has access to.

Collections can be used to organise content, assignments, and learning pathways for groups of users.

Management

The Management section contains tools for administering an individual user's account. From here, administrators can manage group memberships, permissions, account settings, communication history, and learner records. These pages are primarily used for user administration, troubleshooting, access control, and auditing activity within the platform.

User groups

The Users groups page on the submenu shows you a list of all the groups the user is a member of. You can revoke group access, add to new groups and see which groups have been archived

Permissions

The permissions page provides an overview of an individual users permissions and access. It is most relevant for reviewing educator accounts with customised permissions and access. Learn more below about permissions

Administration

he Administration page contains advanced account management options.

Available actions may include:

  • Editing user information

  • Managing account settings

  • Resetting passwords

  • Activating or deactivating accounts

  • Adding access arrangements (exam multipliers for extra time, that will update for any exam attempts the user takes)

Educators need edit permissions on specific attributes in order to edit.

Changing a users attribute and resetting their password

A users password can be reset or a password reset email sent from the administration page. Add additional access arrangements

Access Arrangements

Set additional time multipliers to be applied to all users timed exams, the multipler will save and update any current or future exam attempts for the user.

Disabling and deleting accounts

From the administration area, at the bottom is the 'Danger zone' from here accounts can be permanently deleted or disabled / re-activated

  1. Permanently delete an account = All associated data for that user will permanently be deleted, including attempt data. This action is irreversible. You'll be asked to type a confirmation if clicked.

  2. Disabling an account = The user will not be able to access the platform or receive emails. User will be logged out securely. Content will still be assigned to the user, accounts can be re-activated to regain access. Accounts that have been disabled will show in corresponding groups, exams etc

Email history

The Email History page displays emails that have been sent to the learner through Synap in the last 365 days, emails older than this are not saved. From this page you can view the message body and status. Custom messages will also show here.

Records of earning

The Records of Learning page provides an auditable record of a learner's activity and achievements within the platform. Use this page to add, view, edit or export a users records of learning
