Permissions

User permissions allow you to set both the global and Access permissions for the users of a user group.

Advanced Permissions gives you complete control over what different user groups can see and do within your Synap portal. Instead of giving all educators the same level of access, you can create tailored roles with permissions that match specific responsibilities

Advanced permissions require Pro or higher plans - if you're an existing client and would like to move over to a plan that includes Advanced permissions then please get in touch with support. Permissions cannot be customised for Admins, Managers or Markers

Common Use Cases

  • Exam Moderators: A view only type role where moderators to review marking quality, release results, or oversee moderation workflows without giving them full exam creation permissions.

  • Department or Faculty Tutors: Give tutors access to manage only their own student groups. They can enrol learners, monitor progress, and communicate with their cohort without seeing other departments.

  • Content Authors: Create focused content creation roles where educators can build and edit library content, but cannot access reporting, user management, or portal settings.

  • External Collaborators: Grant temporary or limited access to specific exams, collections, or courses for external reviewers, partners, or contractors without exposing the wider platform.

Permissions are designed to control access within a single business environment. If your organisation operates across multiple businesses or requires stricter separation between teams, users, content, or administration, our Sub-Portals feature may be a better fit. Learn more below.


There are two types of User group permissions:

Global permissions: These permissions apply to all items in the relevant area. For example, if you set View = true on user groups, then the group with that permission could see all user groups on your portal.

Specific permissions: Ideal if you want to grant this user group access rights to restricted items. For example, if you want to enable this user group to mark only 3 specific exams, and not mark all the exams (global permissions are used for this).

Viewing an Educators permissions

You can view the specific and global permissions for an individual Educator by searching for them and navigating to their User page > Permissions.

These pages are view only, you'll need to navigate to the relevant groups to manage and update permissions for any individual

From here all of that users individual global and specific permissions can be viewed as an overview. On with more details about where these permissions are granted found by clicking on the number counter.

When clicking the number counter against each global permission a pop up shows you which groups grant that user the selected permission. To remove a global permission go to the associated groups and either remove that user or modify those permissions

Use the Specific permission tab to view all the permissions an individual user has been granted through specific permissions on content or user groups. From this page theres options to filter by those specific permissions. To edit navigate to the specific content or user groups using the view button.
